Moodle collects the following data to log user activity:

Users include:

Students, including enrolled students, those who have access before enrolment, associate students, and distance learning students;

Students of partner institutions who are granted access;

Ad hoc learners attending short courses at the College;

Users external to Fife College i.e. those who hold affiliate accounts such as external examiners, students enrolled on commercial courses.
How we use your information
Moodle generates a number of reports from the data logs which are accessible to the authorised VLE administrators. Moodle reports enable administrators to monitor activity in the course and to see what resources are or are not being accessed. These may be used to create summary statistics (which do not include personal data) or by department/course teams to support your teaching and learning and to help sustain and improve the service.
Moodle will set the following cookies:
* MoodleSession - This cookie provides continuity and maintains your login from page to page. When you log out or close the browser this cookie is destroyed (in your browser and on the server).
* MOODLEID_ This cookie records the username you log in as when you visit the site, and allows the username field to be automatically filled in the next time you visit.
The myPortfolio service within iLearn will set the following cookies:
* wp_settings_ - These cookies remember your preferences when using myPortfolio. They are retained so preferences are remembered. Deleting these cookies will forget any preferences.
* wordpress_ These cookies are needed to allow myPortfolio to function. They are retained only for the current session.
Our lawful bases for using this information
Public Task: the use is necessary for the performance of a task in the public interest, in line with the College’s responsibilities to provide further education services.
Contract: the use is necessary for the performance of a contract you have with the College or to enable to College to take steps before entering into a contract with you. This applies to College students in line with the public task responsibilities of the College, as above.
Legitimate Interests: the use is necessary in the College’s legitimate interests, where an assessment of necessity balanced with the interests of individuals has been undertaken.
Consent: where cookies are not strictly necessary your consent is required for their use.
International Transfers
- Turnitin
Many courses use Turnitin. This is a third-party service which provides similarity checking, detects the use of Artificial Intelligence and provides us with Authorship feedback. To facilitate the service identifiable personal data is shared between the Fife College’s Moodle VLE and this service. Personal data is transferred to the United States as part of the tool’s operation. The international transfer of data is based on Standard Contractual Clauses. - ClickView
The Clickview system is integrated with the Moodle VLE. This application allows access to educational videos. Personal data may be transferred to the United States and Australia as part of the tool’s operation. The international transfer of data is based on Standard Contractual Clauses. Retention of Information
The College will retain your data for as long as it’s required for legal, accounting, or reporting requirements.
